Terms and Conditions

1. The sharing rate applies to a maximum of two people per room and both must be registered as a delegate.

2. The quoted rate for a double room includes the registration cost of the delegate and Bed and Breakfast accommodation for the accompanying person, who is not permitted to attend the conference proceedings.

3. Registrations will be confirmed within 5 working days after receipt of the registration.

4. The Local Organizing Committee reserves the right to automatically release your booking 21 days after the invoice date if it has not been paid in full.

5. Payments can be submitted by Bank Transfer, Credit Card or Direct Deposit (South African delegates only) as stated on the invoice.

6. All payments should be made to SATNAC.

7. All fees are payable in South African Rand (ZAR).

8. All hotels might request a Credit Card imprint upon check in to cover extras not included.

9. Credit card payments will be processed within 5 - 7 working days of receipt of the registration.

10. Credit card payments will be calculated, equal to the Rand amount, according to the rate of exchange on the actual day processed.

11. Please indicate SATNAC 2018 and your reference number or name on all money transfers.

12. It is the responsibility of international delegates to ensure that the amount (in foreign currency) submitted for payment is equal to the Rand amount (registration fee).

13. The request for sizes of sweatshirt is for planning purposes only.

14. All cancellations must be received in writing.

  1. If a booking is cancelled 90 - 61 days prior to arrival 25% cancellation fee will be charged.
  2. If a booking is cancelled 60 - 31 days prior to arrival 50% cancellation fee will be charged.
  3. If a booking is cancelled 30 - 16 days prior to arrival 75% cancellation fee will be charged.
  4. If booking is cancelled 15 - 0 days prior to arrival/or in the case of a no-show a 100% cancellation fee will be charged.

Cancellation Policy:

Conference Package for delegates includes:

  1. Conference registration fees
  2. Accommodation (include bed and breakfast)
  3. Golf on Sunday, 2 September 2018
  4. Welcome Function on Sunday evening, 2 September 2018
  5. Farewell Function on Tuesday evening, 4 September 2018
  6. Delegate handouts
  7. Lunches from Monday to Wednesday are included for the delegates
  8. Accompanying persons staying at one of the Conference Hotels can attend Welcome & Farewell Functions at no additional cost
  9. Accompanying persons tour option available on Monday, 3 September 2018 at an additional cost, booking upon registration is essential

Conference Package for delegates excludes:

  1. Items of a personal nature such as room service, meals not provided by the conference, laundry, spa treatments, telephone calls etc.
  2. Accompanying persons are not permitted to attend the conference proceedings.
